Do You Know Your Cost Per Acquisition? Why One Subscription Is the Only Way to Find Out
Agents can quote their cost per lead from the invoice. Almost nobody can quote their cost per acquisition, because the CRM stops at closed and the money lands months later on a statement it never sees. AgencyView follows the lead to the commission, on one subscription.
A question is going around agent groups this month: do you know your cost per lead, and more importantly, your cost per acquisition? It is the right question. Most agents can quote their CPL from the vendor invoice. Almost nobody can quote their CPA, because the CRM stops at "closed" and the money shows up months later on a carrier statement the CRM never sees. This post is about why that gap exists, what AgencyView does about it, and why we sell the platform as one subscription instead of a CRM plus a commission tool plus a compliance tool plus a survey tool. Why nobody knows their CPA Cost per acquisition is a fraction. The top is what you spent on leads. The bottom is how many of those leads became paying clients. The top is easy: it is on the invoice. The bottom is where every stack breaks, because "became a paying client" is three systems away from the lead: The lead lives in the CRM, with a status somebody set by hand. The application lives on the enrollment platform, which the CRM may or may not sync. The money lives on a carrier commission statement, which the CRM never reads. So agents estimate. They count "closed" deals as acquisitions and never learn that a third of them were never effectuated, or lapsed before the second month, or were clawed back. The CPA they quote is a hope, not a number. What AgencyView tracks, all the way down AgencyView follows a lead until a carrier pays on it. That is the whole design. The lead carries its source, the date it came in, and how it came in: a vendor posting to your agency's own key, a form, an agent. Routing rules send it to the right agent by source, state or ZIP, with daily and monthly caps per agent so nobody drowns. The conversion is a record, not a status: when a lead becomes a client, the lead keeps the client it became and the moment it happened. The quote and the enrollment happen from that client's record through HealthSherpa, and selecting a plan writes a pending policy to the record at once. The status comes back: pending, effectuated, terminated, without a second login. The money is real. Commission statements are mirrored every night and matched to the client and policy. Every client record has a Commission History tab showing what each carrier actually paid on that person, with chargebacks shown as negatives. Put those together and the bottom of the CPA fraction stops being a guess. You know which lead sources produced clients who effectuated, stayed, and paid. The CFO Center then shows what the book earned, which carriers went quiet, what is still owed, and what could be clawed back. One thing we will say plainly: AgencyView does not yet ask you what you paid for each lead. That figure is on your vendor invoice, and you divide by what AgencyView shows you. The half that was impossible before is the half AgencyView does. The other half of the problem: the stack The second reason agents cannot see their numbers is that the numbers are spread across subscriptions. A marketing CRM here. A commission tracker there. A survey tool billed per form. A compliance vendor. An enrollment platform. Each one is a login, an export, and a monthly line. The math never gets done because the data never sits in one place. AgencyView's answer is one subscription . Every plan includes the core platform: Included on every AgencyView plan What it replaces The CRM: clients, households, policies for every line of business, tasks, calendar, messages A standalone CRM subscription Lead intake, routing rules, agent caps, vendor posting keys, and the lead marketplace A lead management add-on Commission tracking: nightly statement sync, Commission History per client, lapse, never-paid and chargeback alerts, split levels and overrides A commission subscription The CFO Center: real monthly income, stalled carriers, receivables, clawback exposure, book valuation, tax set-aside A bookkeeper's spreadsheet HealthSherpa ACA and Medicare quoting and enrollment from the client record Re-keying households into another tab Built-in Medicare and ACA intake surveys, unlimited, with the answers written to the client record A per-survey intake subscription The HIPAA Compliance Center: BAAs sent and chased, training records, audit logs, reports A compliance vendor Call coaching: recordings on the client, transcription, scoring, a Call Wall with supervision, on the RingCentral you already have A call analytics subscription What it costs Plans are published, not quoted: Starter, $159 per month : one agent account and two CSR accounts, the full core platform. Agencies that pay downline agents through commission payroll use the commission platform's own Pro tier, which carries its own charge, and calling minutes come with a pooled allowance per seat with a small top-up if you run past it. We would rather tell you that here than on an invoice. Know the number Cost per lead is a purchase. Cost per acquisition is a result, and a result you can only measure if the lead, the client, the policy and the commission are one thread. That thread is what AgencyView is, and one subscription is how we keep it in one place. From Lead to Quote to Enroll , then Paid, and this time you can prove it.
