License monitoring is live: how AgencyView keeps every agent's licenses and appointments current
Every agent's state licenses and carrier appointments are now tracked in your commissions workspace, with auto-renewal 90 days before a license ends and non-resident applications from the same screen. Here is what it does and where to find it.
Ask any agency owner how a license lapsed and the story is always the same. Nobody decided to let it expire. The renewal notice went to an old email, the state fee sat in someone's inbox, and the carrier found out before the agency did. Then the appointment was pulled, the pending business stalled, and a week went into paperwork that a calendar reminder would have prevented. That is what license monitoring inside AgencyView is for. As of today, every agent's state licenses and carrier appointments are tracked in your commissions workspace, the same place your commission statements already live. This post walks through what it does, what it costs, and where to find it. Every license the agent holds, with the state, start date and end date. Names, NPNs and license numbers are blurred in these pictures. What is tracked Give the workspace an agent's NPN and it pulls that agent's licenses from NIPR. Each license is listed with the state, the license number, the start date, the end date and the renewal date. Expired licenses and licenses coming up on their end date are visible at a glance, so you are looking at the agency's licensing position as it is today, not as it was when someone last checked. Carrier appointments show alongside the licenses. Turn Show Carrier on to see them, with start and end dates where the carrier or the state reports them. Two more views sit in the same menu. Expired Licenses is the list nobody wants and everybody needs: every license past its end date, with the date in red. The Map fills in each state the agent is licensed in, which answers "can we write in Tennessee?" faster than any spreadsheet. Expired Licenses: everything past its end date, in one list. The Map shows license coverage by state. Three levels of oversight Not every agent needs the same attention, so each agent has an oversight level: None. Do not monitor this agent's licenses or appointments. Monitor. Track the agent's NIPR licenses and appointments, nothing more. Use this for agents whose non-resident licenses you are not paying for. Manage. Track everything, and add auto-renewal and non-resident applications. Use this for LOA agents and anyone whose licensing the agency runs. Turning on management for an agent: enter the NPN, and the licenses are collected from NIPR and monitored monthly. Auto-renew, before it matters On any license, flip Auto-Renew on and complete the renewal profile NIPR requires. From then on the renewal is filed 90 days before the license's end date. A license that must never lapse, the resident license or the state where most of the book lives, stops depending on someone remembering. The cost of the renewal is itemised before you confirm it, and the Cheat Sheet in the same menu lists every state's initial and renewal fee, so there are no surprises. Two things to check before you turn it on: the agent's details have to be accurate, because the renewal is filed from them, and the renewal timing should be confirmed for that license. Non-resident licenses from the same screen When an agent needs a new state, add the non-resident state from their license list and follow the application steps inside the workspace. The request shows as Pending while it progresses, so you can see where every application stands without a spreadsheet of confirmation numbers. Review an application carefully before it goes in; a duplicate application is a fee you do not get back. Carrier names you can actually read Appointment data arrives with the carrier's legal names, which is why the same company can show up three different ways. Carrier Pretty rules turn those into names your team uses: the default set reads Continental as Aetna, the various Anthem entities as Anthem, and New York State Catholic as Fidelis. If a carrier you work with is not covered, add your own rule and the list stays clean from then on. Finding what you need The list filters to Active or Expired licenses, and a state search shows everyone licensed in, say, Texas. Turn Show Carrier off when you only want to review licenses. What it costs Monitoring is $8.00 per month per monitored agent , however many states that agent is licensed in. An agent licensed in twenty states costs the same as one licensed only at home. A renewal filed for you costs the state's own fee, plus $5.60 to NIPR for the filing, plus $5.00 processing and 3% card processing on the total. Every renewal is itemized before you confirm it, and Auto-Renew stays off until you turn it on for a specific license. We publish what all 51 jurisdictions charge on the license monitoring page . Where to find it Open Commissions in AgencyView and click Open full view on the earnings panel. You are signed into the workspace with your AgencyView identity. Go to Licensing under Compliance in the left menu, then Licenses & Appointments . The first time, open Agents , pick the agent, set the oversight level, and enter their NPN. Give the list a moment to refresh and confirm the licenses appear before changing anything. The full view is available to agency admins, sub-agency admins and independent agents. LOA agents and CSR seats work inside their agency's book and do not get a separate workspace. What to double-check Not every carrier or state reports complete appointment dates. Treat appointment start and end dates as helpful, not final. Pick the oversight level deliberately. Manage on an agent you did not mean to pay for means renewals you did not plan; Monitor on an LOA agent means a lapse nobody caught. Carrier names look unfamiliar until the Carrier Pretty rules have run. Run them, then read the list.
